Cancellation and Refund Policy

TERMS AND CONDITIONS

Cancellation & Refund Policy

Welcome to Sea Horizon Nomads Corporation.

By booking an expedition or service with us, you agree to these Terms and Conditions on behalf of yourself and all guests included in your reservation. Please read them carefully before completing your booking.

1. PAYMENTS & BOOKING CONFIRMATION

A partial payment is required to confirm your reservation. The remaining balance must be paid before departure according to the deadline stated in your booking confirmation.

Once your booking is confirmed, you will receive a confirmation email containing your reservation details.

2. BOOKING & OPERATIONAL FEE

A PHP 2,000 per person Booking & Operational Fee forms part of every confirmed reservation.

This fee covers costs incurred from the moment your booking is confirmed, including customer support, payment processing, reservation management, expedition planning, coordination, staffing, and logistical preparation.

Because these costs are incurred before departure, the Booking & Operational Fee is generally non-refundable, except when Sea Horizon Nomads cancels the expedition for an operational reason within our direct control, as explained in Section 5.

The Booking & Operational Fee is not an additional charge on top of the advertised expedition price; it forms part of the amount you pay for your reservation.

3. CANCELLATION BY THE GUEST

14 days or more before departure

You may cancel your reservation and receive a refund of the amount paid minus the PHP 2,000 per person Booking & Operational Fee.

Less than 14 days before departure

The booking is non-refundable.

However, if you are unable to travel, you may transfer your reservation to another person at no additional cost, provided that:

  • You notify us in writing before departure.

  • The replacement guest accepts these Terms and Conditions.

  • Any payment between the original and replacement guest is handled directly between them.

Reducing the number of guests in a reservation will be considered a partial cancellation, and the same cancellation conditions will apply to the cancelled guest(s).

4. CHANGE OF DATE / REBOOKING

You may request to change your expedition to another departure date provided that:

  • You notify us at least 48 hours before your original departure time.

  • We have available spots on the requested new departure date.

  • A PHP 1,000 per person Change of Date Fee is added to your booking and paid before the new departure.

All changes of date are subject to availability and cannot be guaranteed.

Requests made less than 48 hours before departure will be treated according to our standard cancellation policy.

5. CANCELLATION BY SEA HORIZON NOMADS

If Sea Horizon Nomads cancels your expedition due to an operational reason within our direct control and we cannot provide the booked service or a suitable alternative, you will receive a 100% refund of all amounts paid, including the PHP 2,000 Booking & Operational Fee.

This applies to operational cancellations attributable to Sea Horizon Nomads and does not include weather, sea conditions, safety-related cancellations, Philippine Coast Guard restrictions, or other circumstances outside our reasonable control.

We are not responsible for additional expenses booked independently, such as flights, hotels, transportation, visas, or other travel arrangements.

6. WEATHER, SEA CONDITIONS & PHILIPPINE COAST GUARD RESTRICTIONS

Safety will always take priority over operating an expedition.

Our expeditions take place in remote maritime areas and are dependent on weather forecasts, actual sea conditions, and authorization from the Philippine Coast Guard.

An expedition may be postponed or cancelled if:

  • The Philippine Coast Guard prohibits or restricts sea travel.

  • Weather or sea conditions make the expedition unsafe.

  • Based on available forecasts, advisories, or sea conditions, Sea Horizon Nomads reasonably determines that departure would create an unacceptable safety risk.

  • We reasonably determine that there is a significant risk that conditions may deteriorate or that the expedition may subsequently be unable to continue safely or legally after departure.

For safety reasons, Sea Horizon Nomads is not required to wait for an official Philippine Coast Guard suspension or no-sail order before deciding not to depart.

Rescheduling

Whenever reasonably possible, we will first offer an alternative departure.

If conditions continue to prevent safe or legal operation, we may offer alternative departure dates for up to 3 consecutive days following the original departure date, subject to availability, weather conditions, and Philippine Coast Guard clearance.

Refund

If you cannot or choose not to accept the alternative departure dates offered, or if the expedition remains unable to operate safely or legally during the rescheduling period, we will refund the amount paid minus the PHP 2,000 per person Booking & Operational Fee.

The PHP 2,000 fee is not a penalty for bad weather, a Coast Guard restriction, or a safety-related cancellation. It covers administrative, payment processing, staffing, planning, coordination, and logistical costs already incurred in preparing your expedition.

For clarity, a decision by Sea Horizon Nomads not to depart because of weather, sea conditions, or reasonable safety concerns is considered a weather/safety cancellation under this section and not a company operational cancellation under Section 5.

7. ITINERARY & SERVICE CHANGES

Sea Nomads expeditions take place in remote island environments, and our itineraries are therefore flexible.

The itinerary provided before departure represents our intended route and activities but cannot be guaranteed.

The exact islands visited, number and duration of stops, route, accommodation, activities, departure times, or vessel may change before or during the expedition due to:

  • Weather or sea conditions

  • Safety considerations

  • Philippine Coast Guard restrictions

  • Mechanical or technical issues

  • Government decisions

  • Logistical or operational circumstances

  • Other circumstances outside our reasonable control

Changes, substitutions, shortened stops, or missed stops do not automatically entitle guests to a refund or compensation.

Where an incident significantly affects the expedition experience, Sea Horizon Nomads may, at its discretion, offer partial compensation, credit, or another goodwill solution on a case-by-case basis.

Any such compensation is voluntary and does not create an obligation to provide equivalent compensation in future situations.

8. MEDICAL, FLIGHT & OTHER GUEST CANCELLATIONS

If you are unable to attend due to illness, injury, medical circumstances, flight cancellations or delays, missed connections, visa issues, transportation problems, or other circumstances affecting your travel, the standard guest cancellation policy in Section 3 applies.

We strongly recommend purchasing comprehensive travel insurance covering:

  • Medical emergencies

  • Trip cancellation or interruption

  • Flight and transportation disruption

  • Emergency evacuation and repatriation

  • Loss or damage to personal belongings

Upon request, Sea Horizon Nomads can provide booking confirmations, invoices, receipts, or supporting letters to assist with an insurance, airline, or other third-party claim.

Any reimbursement remains subject to the terms of the relevant insurance provider, airline, or third party.

9. LIABILITY & PARTICIPATION

Our expeditions and activities such as swimming, snorkeling, kayaking, hiking, cliff jumping, and other recreational activities involve inherent risks.

Guests must follow all safety instructions provided by our guides, crew, and relevant authorities.

To the extent permitted by applicable law, Sea Horizon Nomads Corporation is not responsible for losses or additional expenses resulting from circumstances outside our reasonable control, including weather, government restrictions, third-party transportation disruptions, lost or damaged belongings, or independently booked travel arrangements.

Our maximum liability relating to a booking will not exceed the amount paid to Sea Horizon Nomads Corporation for the affected service, except where applicable law provides otherwise.

10. ACCEPTANCE OF TERMS

By completing your booking, you confirm that:

  • You have read and understood these Terms and Conditions.

  • You accept them on behalf of yourself and all guests included in your reservation.

  • You understand that our expeditions take place in remote island environments and that weather, sea conditions, safety considerations, and government restrictions may affect the expedition.

  • You agree to follow all safety instructions provided by our team.
